1. Introduction
Student Tenants Association LLC ("STA," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, disclose, and safeguard your information when you use our website at studenttenantassociation.com and any associated mobile applications (collectively, the "Platform"). By using the Platform, you consent to the data practices described in this Privacy Policy.
If you do not agree with the terms of this Privacy Policy, please do not access or use the Platform.
2. Information We Collect
Information You Provide Directly
When you create an account, submit reviews, file reports, claim a property, or contact us, we may collect: name, email address, university affiliation, account credentials, the content of your submissions (including reviews, reports, appeals, and responses), uploaded files (such as photographs, videos, and documents including lease agreements), and any other information you voluntarily provide.
Information for Property Owners
If you register as a property owner or management company, we may additionally collect: business name, business address, business contact information, property ownership or management documentation, and subscription and billing information processed through our third-party payment processor.
Information Collected Automatically
When you access the Platform, we may automatically collect: IP address, browser type and version, device type, operating system, referring URL, pages visited and actions taken on the Platform, date and time of access, and anonymized usage analytics data. We use this information for security, analytics, and to improve the Platform.
Cookies and Tracking Technologies
We use cookies and similar technologies to maintain session state, remember user preferences, and collect analytics data. You can control cookie preferences through your browser settings, though disabling cookies may affect Platform functionality.
3. How We Use Your Information
We use the information we collect to:
(a) Operate, maintain, and improve the Platform; (b) process and display User-generated content including reviews and reports; (c) facilitate the content moderation and dispute resolution process; (d) create and manage your account; (e) process subscription payments for property owner accounts; (f) communicate with you regarding your account, submissions, or support requests; (g) send administrative communications such as updates to our Terms and Conditions or Privacy Policy; (h) detect, prevent, and address fraud, security issues, and technical problems; (i) comply with legal obligations; and (j) enforce our Terms and Conditions.
We do not use your personal information for targeted advertising. We do not sell your personal data to third parties.
4. Disclosure of Information
We may disclose your information in the following circumstances:
Public User Content
Reviews, reports, owner responses, and other User-generated content are displayed publicly on the Platform. Information you include in these submissions (such as your display name and the content of your submission) will be visible to other Users and the general public.
Service Providers
We may share information with third-party service providers who perform services on our behalf, such as cloud hosting (Amazon Web Services), payment processing, email delivery, and analytics. These providers are contractually required to use your information only for the purpose of providing services to us and are obligated to protect your information.
Legal Requirements
We may disclose your information if required to do so by law, including in response to a valid subpoena, court order, or other legal process, or if we believe in good faith that disclosure is necessary to: (a) comply with applicable law or legal obligations; (b) protect and defend our rights or property; (c) prevent fraud or other illegal activity; or (d) protect the personal safety of Users or the public.
Business Transfers
In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will provide notice before your personal information is transferred and becomes subject to a different privacy policy.

We implement reasonable administrative, technical, and physical safeguards designed to protect your personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption of data in transit (TLS/SSL), secure cloud infrastructure, access controls, and regular security reviews.
However, no method of transmission over the Internet and no method of electronic storage is 100% secure. While we strive to protect your personal information, we cannot guarantee its absolute security. You are responsible for maintaining the confidentiality of your account credentials.
6. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with services. We may also retain your information as necessary to comply with our legal obligations, resolve disputes, enforce our agreements, and for legitimate business purposes such as maintaining platform integrity.
User-generated content (reviews, reports, owner responses) may be retained on the Platform even after account deletion, as this content serves the public interest purpose of the Platform. Content may be anonymized upon account deletion.
7. Children's Privacy
The Platform is not directed at children under the age of thirteen (13). We do not knowingly collect personal information from children under 13. In compliance with the Children's Online Privacy Protection Act (COPPA, 15 U.S.C. §§ 6501–6506), if we become aware that we have collected personal information from a child under 13 without verified parental consent, we will promptly delete such information from our systems.

8. Your Rights
Depending on your jurisdiction, you may have certain rights regarding your personal information. These may include the right to:
(a) Access the personal information we hold about you; (b) request correction of inaccurate personal information; (c) request deletion of your personal information, subject to certain legal exceptions; (d) object to or restrict certain processing of your personal information; and (e) receive a copy of your personal information in a portable format.
California Residents. Under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), California residents may have additional rights, including the right to know what personal information is collected, the right to delete personal information, and the right to opt-out of the sale of personal information. STA does not sell personal information as defined under the CCPA.
Florida Residents. While the Florida Digital Bill of Rights (FDBR, effective July 1, 2024) primarily applies to businesses with annual gross revenues exceeding $1 billion, STA respects the data privacy principles set forth in the FDBR and will honor reasonable data access, correction, and deletion requests from Florida residents.

The Platform may contain links to third-party websites, services, or resources that are not operated by us. We are not responsible for the privacy practices of these third parties. 10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated Privacy Policy on the Platform and updating the "Last Updated" date. Your continued use of the Platform after any changes constitutes acceptance of the updated Privacy Policy. We encourage you to review this Privacy Policy periodically.
